Who we are

This policy covers texasemotionalsupportanimalletter.org and the intake process. Clinical information held by a treating therapist is separately governed by our notice of privacy practices.
What we collect
- Information you give us: name, email, phone, Texas county, the animal you live with, and the free-text description of your housing situation.
- Health-related information you volunteer in the intake, which we treat as sensitive and share only with the therapist evaluating you.
- Payment information, processed by [payment processor]. We receive a confirmation and the last four digits; we do not store card numbers.
- Technical data: IP address, device and browser type, pages viewed, and referring site.
Cookies and analytics

Why we use it
- To screen your intake and tell you whether a therapist can help.
- To schedule and deliver the evaluation, and to deliver the letter.
- To take payment and issue receipts.
- To answer your questions and keep a record of what we told you.
- To meet legal, tax and professional record-keeping obligations.
Who we share it with
- The therapist evaluating you. That is the point of the intake.
- Service providers under written agreement: [telehealth platform], [payment processor], [email provider], [scheduling tool], [hosting]. Where a provider handles protected health information, a business associate agreement is in place.
- Nobody else for money. We do not sell, rent or trade your personal information, and we do not share it with data brokers, lead generators or advertisers.
- Legal compulsion, where a valid subpoena, court order or law requires it.
We do not disclose anything to your landlord. You decide what to give them, and the letter is written so that it discloses no diagnosis.
How long we keep it
Intakes that do not proceed: [12] months. Client records: retained by the treating therapist for the period Texas rules require for that profession. Billing records: as tax law requires. Analytics: [26] months.
Your choices
You can ask for a copy of what we hold, ask us to correct it, ask us to delete what we are not required to keep, withdraw consent, and unsubscribe from any non-essential email. Texas residents may have additional rights under Texas data privacy law; email us and we will honour applicable requests. Requests go to contact@texasemotionalsupportanimalletter.org and we respond within [30] days. We will not treat you worse for asking.
Security
Encryption in transit, access limited to staff who need it, and vendor agreements covering health information. No system is perfect; if a breach affects you we will notify you as law requires.
Children
This service is for adults. We do not knowingly collect information from anyone under 18 through this site. [If you serve minors with parental or guardian consent, describe that process here instead.]
Changes
Material changes will be posted here with a new date, and we will email you where the law requires.
